Labour Resources

A labour resource is effectively an ‘employee’ or body assigned to a work order to carry out the work order tasks.

Enquiring on Labour Resources

A Labour Resource Record contains all information about a labour resource including the craft, current shift, labour cost rate, absences and qualifications.


Codes are used to refer to the employee’s shift pattern, pay rate and craft. These codes must already exist in the appropriate standing data files.


Labour Records can be viewed via two methods:

The Labour Resource Tree View shows all available labour (those defined as both Current and not temporarily unavailable) in a tree structure format. This includes two views of labour resources: one grouped by craft and the other showing labour resources by Labour Code.


As labour resources may have several crafts, an employee may appear more than once in the tree view, as seen in the example of Bill Bronson below:

General

Labour Code

This is a unique reference for the Labour Resource, for instance their Employee Number.


First Name

This is the Resource’s first name.


Surname

This is the Resource’s surname.



''''Labour Rate

This is the Rate at which all work carried out by the Labour Resource will charged. The available labour rates are set up as standing data, please see Labour Rates.


Current Shift

This is a read-only field which indicates the current shift for the labour resources. This is calculated based upon the shift details entered within the ‘Shifts’ tab of the Labour Record.


Employed By

This could be the name of a Subcontract Company who employs the Labour Resource.


Internal Resource

A tick box to indicate whether or not the Labour Resource is an Internal (Company employed) one. This is an important setting as it will determine whether Time & Costs entered on a Work Order are classed as Internal or External.


User Logging

Completing this field enables a Labour Resource to be cross referenced to a User Account. This facilitates showing only work allocated to a resource when that resource activates their user account.


Team

This flag indicates whether Labour Resource is a single Labour or a Team. When defined as a team, resource availability when using scheduling tools will be multiplied by the “Team Size” factor.


Once the checkbox has been selected to indicate that the resource is a “Team”, the field “Team Size” is displayed for input. The value which is inputted will be used to multiply the resource availability.


For example, if a resource is identified as having shift availability of 8 hours, but the Team Size is defined as 3, then the available resource capacity will be deemed as 24 hours by scheduling tools in Agility


Team Size

This field is only available if the ‘team’ option is checked. This is where it is determined how many members are in the team. The system using this value and shift work time calculates availability for the team.


Start Date

This is the start date for the Labour Resource. This is effectively the date that the labour resource joined the company or is available to work from.


End Date

This is the end date for the Labour Resource.


Temporarily Unavailable

This flag signifies whether an employee is currently temporarily unavailable for work. If the resource is marked as temporarily unavailable they cannot be assigned to any jobs.


Photo

An image file can be attached to the employee record. For details of how to attach a file to a record, please refer to the Attachments section earlier in this document.

If the image file needs to be removed use the change function and select No File; the image will no longer be displayed on the record.





Details Tab

Contact

Basic contact details can be stored against the resource. It is possible to add several different contact methods against each resource. To add a new contact details record, click on Add within the Contacts grid:

Contact Type

This field is free text and is used to record the type of contact, for instance Work or Home.


Phone Number

The contact telephone number, if applicable


Mobile Number

The contact mobile telephone number, if applicable


Fax Number

The contact fax number, if applicable.


E-Mail Address

The contact e-mail address, if applicable.


Postcode

The contact postcode, if applicable


Address (fields 1…5)

The contact Address details, if applicable.


Comment (fields 1…5)

Addition space to store notes and comments, if applicable






Crafts


A Labour Resource can have one or many ‘crafts’. Crafts are the way of identifying which skills the resource has and are how the system can determine which resources are offered for different types of selected craft when assigning labour resources to jobs. Use the select from list function to launch a multi-selection list of crafts from which several crafts can be selected by checking the corresponding boxes. Then use the ‘get selected rows function’ to assign the crafts to the labour resource.

Shifts Tab

Shift History


The Shift History grid allows an employee’s shift history to be built up over time. Click on Add within the Shift History grid to add a new shift pattern:

Shift Pattern

Select a shift pattern by clicking on the help icon and selecting a shift pattern from the Employee Shift Help Form.


Shift Start Date

This field records the date that the employee starts this shift pattern. This defaults to the current date.


Start Position

This represents the start position within the shift pattern, i.e.: the day number of the shift. So, if your shift is 20 days long and you specify start position as 5, it will start from day 5 of the shift definition.

Certificates Tab

Certificates


The certificates grid contains a record for each qualification obtained and training course attended.


Click on Add within the Certificates grid to add details of a new certificate:

Type, Reference, Description and Notes are all free text fields. In addition to these details, a validity period for the certification can be stored.


Absences Tab

The employee absence grid contains a record for each absence period of an employee, i.e. each period of holiday booked, sickness period, or any other absence. Any absence periods will be displayed in the scheduler. Where a weekend is crossed then two separate absence records should be added.


Click on Add within the Absence grid to record a new employee absence:

Absence Start

This represents the first day of the absence.

This represents the final day of the absence.


Full Day?

The Full Day check box defaults to yes. If the duration of the absence is only half a day this should be unchecked.



Absence Type

This is a drop down list enabling the selection of the type of absence. By default, these options are Holiday, Sickness or Training. However, further absence Types can be defined (please refer to the Absence Types section within this document)


Absence Approved

This flag signifies whether or not the absence is authorised.


PDA Tab

The settings in this tab are only applicable if Mobile Expert PDA software is being used by the Labour Resource.

Further operational information on mobile expert can be found in the mobile expert user guide.

Uses Mobile Expert Software

This check box signifies if an employee is a Mobile Engineer. If this field is checked, any tasks scheduled to this employee will be sent to his / her mobile device.


Options


These options are used to determine the behaviour of the mobile expert software for this particular resource.


ETA Change reason required

If the estimated time of arrival is changed by the employee then a reason must be provided if this option is checked.


ETC Change reason required

If the estimated time of completion is changed by the employee then a reason must be provided if this option is checked.


Use Barcode reader

If a bar code reader is in use then this option should be checked.


Show Mileage at Logon

When the employee logs on to the mobile device if this option is checked then the recorded mileage will be displayed

Pocket Name

The ID (Name) of the device being used by this employee


MAC Address

The unique network device MAC address of the mobile device currently in use by this employee.


Lost Time Format

This determines the format of recorded lost time. i.e. ‘dhm’ would be days hours and minutes


Delay Time Format

This determines the format of recorded lost time. i.e. ‘dhm’ would be days hours and minutes


Stock Settings

If stock is also being managed via the mobile expert software then the stock settings need to be specified.


Additional Labour Record Enquiry Tabs

There are several additional tabs available within a Labour record viewing existing Labour Records.


Availability Tab


The Availability grid shows the shift pattern and workload of the employee. This uses the same forms as the Work Scheduler.


Time Spent Tab

A scan of all Time booked against Work Orders by the Labour Resource.


Work Orders Tab

This tab contains a Work Order Scan Form detailing the labour resource’s Work Orders.


Planned Tab

A scan of all Active Planned Work allocated to the Labour Resource
